Branvox cares deeply about your privacy. Therefore, we process only the data necessary for (improving) our services and handle carefully the information collected about you and your usage of our services. We never provide your data for commercial purposes to third parties. This privacy policy applies to the use of the website and the services provided by Branvox. The effective date of these terms is 26/12/2023, and publishing a new version renders all previous versions invalid.

E-commerce software Shopify

Our e-commerce platform is built using Shopify software. Personal data you provide us for our services is shared with Shopify. Shopify has access to your data to provide us technical support and will never use your data for any other purpose. Based on our agreement with them, Shopify is obligated to implement appropriate security measures. These measures include SSL encryption and a strong password policy. Shopify is a certified processor of credit card data. Shopify uses cookies to gather technical information regarding your software usage, with no collection or storage of personal data. Shopify reserves the right to share collected data within its organization to improve its services. Shopify complies with applicable legal retention periods for (personal) data. Shopify

We send our newsletters and transactional emails using our e-commerce software 'Shopify'. All confirmation emails you receive from our website and web forms are sent via Shopify servers. Shopify will never use your name and email address for its own purposes. At the bottom of each email sent automatically via our website, you will find an 'unsubscribe' link. Clicking on this link will stop you from receiving further emails from our website. However, this action may significantly impact the functionality of our website! Your personal data is securely transmitted, stored, and accessed by Shopify. Shopify uses cookies and other internet technologies to track if emails are opened and read. Additionally, Shopify processes information about you as the recipient and the email subject line to improve the quality of service. These data are retained for 30 days. Shopify reserves the right to use your data to further improve its services and share information with third parties for that purpose.

Gmail

For our regular business email communication, we use Gmail services. This party has implemented appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data. Gmail does not have access to our mailbox, and we treat all our email traffic confidentially.

Payment processors Mollie

To handle (part of) the payments in our e-commerce store, we use Mollie's platform. Mollie processes your name, address, residential information, and your payment details such as your bank account or credit card number. Mollie has implemented appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve its services and share (anonymized) data with third parties for that purpose. All the aforementioned safeguards regarding the protection of your personal data also apply to the parts of Mollie's services for which they engage third parties. Mollie does not retain your data longer than allowed by legal terms.

Reviews Shipping and logistics

DHL

When you place an order with us, it is our responsibility to deliver your package to you. We use DHL services for carrying out deliveries. Therefore, we need to share your name, address, and residential information with DHL. DHL uses this data only for executing the agreement. In case DHL engages subcontractors, DHL also provides your data to these parties.

Purpose of data processing

When making and submitting the order, the customer agrees that the data printed on the product is public and will be used in public. Branvox is not responsible for any misuse of this data!

General purpose of processing

We solely use your data for our services. This means that the processing purpose is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share your data with us, and we use it to contact you at a later point - other than at your request - we will explicitly ask for your consent. Your data is not shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality under the agreement between them and us or an oath or legal obligation.

Automatically collected data

Data automatically collected by our website is processed to further improve our services. These data (such as your IP address, web browser, and operating system) are not considered personal data.

Cooperation with tax and criminal investigations

In certain cases, Branvox may be required by law to share your data for tax or criminal investigations by the government. In such cases, we are obliged to share your data, but within the limits allowed by the law, we will oppose it as much as possible.

Retention periods

We keep your data as long as you are a client of ours. This means we retain your customer profile until you indicate that you no longer wish to use our services. If you notify us of this, we will interpret it as a request to forget. This also means that we will not retain your data longer than two years from the last contact moment or transaction unless there is a legal justification for it. Based on applicable administrative obligations, we need to retain invoices with your (personal) data, and thus we will retain this data for as long as the applicable term requires. However, employees will no longer have access to your client profile and documents we have produced as a result of your assignment.

Your rights

Under the applicable Dutch and European legislation, you, as the data subject, have certain rights concerning the personal data processed by or on behalf of us. We explain below what these rights are and how you can invoke them. To prevent abuse, we generally send copies of your data and records only to your already known email address. If you wish to receive the data at a different email address or by post, for example, we will ask you to identify yourself. We maintain a record of processed requests, and in the case of a request to be forgotten, we anonymize the data. All copies and records of data will be provided in the machine-readable data format we use within our systems. You always have the right to file a complaint with the Dutch Data Protection Authority if you suspect that we are using your personal data incorrectly.

You always have the right to access the data we (have processed or obtained that relate to your person or are traceable to you. You can make a request to this effect to our privacy officer. You will then receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data, with an overview of the processors that have this data, stating the category under which we have stored this data, to your known email address.

You always have the right to have the data we (have processed or obtained) and that relate to your person or are traceable to you corrected. You can make a request to this effect to our privacy officer. You will then receive a response to your request within 30 days. If your request is granted, we will send you a confirmation that the data has been adjusted to your known email address.

Right to restriction of processing

You always have the right to limit the data we (have processed or obtained) that relate to your person or are traceable to you. You can make a request to this effect to our privacy officer. You will then receive a response to your request within 30 days. If your request is granted, we will send you a confirmation that the data will not be processed until you lift the restriction, to your known email address.

Right to data portability

You always have the right to have the data we (have processed or obtained) and that relate to your person or are traceable to you, performed by another party. You can make a request to this effect to our privacy officer. You will then receive a response to your request within 30 days. If your request is granted, we will send you copies or duplicates of all data about you that we have processed or had processed on our behalf by other processors or third parties. In all likelihood, in such a case, we can no longer continue our services, as the secure linking of databases can no longer be guaranteed.

Right to object and other rights

In certain cases, you have the right to object to the processing of your personal data by or on behalf of Branvox. If you object, we will immediately cease data processing pending the resolution of your objection. If your objection is justified, we will provide you with copies and/or copies of data that we (have processed or obtained), and then permanently cease processing.
